Description
Maintain the professionalism and skills (time management, attention to detail, handling confidential information and diligent handling of sensitive issues), Should be a go-getter, should think out of the box (find solutions), Should be proactive & take up new responsibilities / assignments
Responsibilities
- Greet clients and set a positive office atmosphere with Pleasing personality- Visitor Management
- Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
- Answer the phone, take messages, and redirect calls to appropriate offices staff, answer questions and address complaints
- Organize and maintain files and records, update when necessary
- Create and maintain updated documents and spreadsheets
- Prepare outgoing envelopes, packages, Couriers etc.)
- Operate office equipment, such as photocopier, printers, Scanner etc.
- Receive Admin Bills and maintain record then send it to Finance department
- Supervising Housekeeping contract staff and maintain office cleanliness
- Record meeting minutes and arrange digital calls if required (Zoom/Microsoft).
- Perform inventory of office supplies, Pantry & stationery and order what is needed
- Ordering Birthday Cake, Bouquet for staff birthday (Special events)
- Coordinate with food vendors for office staff day to day food supply to office canteen for Lunch.
- Take up other duties as assigned (Assist for Monthly reports)
- Calendar management & reminding events for the day
- Coordinate / scheduling required Teleconferences
- Monthly Reports preparation & sending it as per scheduled timeline
- Event Management support for Company
- Working on Travel Plans of Managers with necessary travel itinerary
- Assisting of necessary VISA Arrangements
- Coordinating with MIS Department for any necessary MIS Support required from time to time
- Attending Meetings, preparing MOM and circulating it to concerned and circulating Minutes
- Screening Calls, communicating messages to Managers
- Checking / answering mails from time to time
- Fixing & managing appointments for Managers
- Should be able to handle things independently
- Talking dictations, transcribing and sending it to concern
- Coordinating with Finance for Expenses / Claims of Managers
- Any other tasks assigned by Managers to be handled from time to time
Requirements
- Any Graduate / Postgraduate
- Age group: Within 32 years
- Should possess good communication skills with pleasing personality
- Should have experience of min. 3-4 years working with Senior Managers
- Should have language proficiency in English, Hindi & Kannada
- Prior experience working as Executive Assistant required
- Should have Computer skills – good in MS Word, MS Excel & MS Power Point
